Ask Lovelio is the AI assistant built into every part of Lovelio. It answers questions about your own data, runs actions for you, drafts emails and jobs, filters the page you are looking at, and takes you to the right page when you ask where something is. It is one assistant with one brain: the same conversation and the same capabilities no matter which door you open it from.
When AI work is paused
A spending limit can pause new model calls. Existing records, documents and completed results remain available. The Lovelio team can review the limit and resume work. Background processing on inactive accounts needs an explicit, time-limited approval. A demo does not activate a historical backfill.
Where it lives
- The "Ask Me anything" input in the top bar. Type there and press Enter; the answer panel drops down below the bar. Cmd+K (Ctrl+K on Windows) toggles the same panel from anywhere.
- On a phone, a floating button in the corner of every dashboard page opens the same panel - the top bar is desktop-only.
- Slack: connect Slack from Settings under Integrations, then message the bot in a DM or @mention it in a channel. Natural language is the primary way to talk to it; slash commands exist as an optional shortcut.
- WhatsApp: Lovelio uses one shared WhatsApp number. You link your own account by getting a link code from the Integrations page in Settings and sending it to that number. After that, messages go through the same assistant.
- An "Ask" tab on individual records: candidates, jobs, clients, and BD targets. See "Ask on a record" below.
What it can do
- Answer questions about your data: pipeline health, who needs follow-up, candidate assessments, fit scores, analytics, interviews, activity history. Every record it mentions is a clickable link that opens the real record.
- Find any record by name. Say a company and it searches the client book by name, website or sector ("Acme", "acme.com", "our fintech clients"). Say a person at a client and it finds the contact with their title, email and phone. It also finds candidates, jobs, submissions sitting with clients, placements, BD targets on the territory map, and teammates. Every job shows which client it is for, so "who is the Sales Director role for?" is a question it can answer. If a name matches more than one record it asks which one rather than guessing.
- Run actions: create clients, contacts, jobs, candidates, applications, placements, job ads, and talent pools; schedule and cancel interviews and meetings; reschedule meetings from plain phrasing ("move Derren's meeting to Friday 2pm"); draft and send emails; add notes; send screening forms and reference requests; and more. One request can create a client and its contacts together. If part of that multi-record action fails, Lovelio keeps a durable receipt and resumes from the failed step when retried instead of creating duplicates.
- Add candidates from resumes: click the paperclip or drag a PDF, DOC or DOCX onto either Ask box. You can attach first and ask Lovelio to create the candidate, or name and email the person first and say the resume is required. Lovelio reads the file into the same editable candidate review, keeps the original document, and never creates the candidate until you confirm. Details you typed win when the resume differs, and the review tells you there was a conflict.
- Draft jobs conversationally: describe the job in any level of detail and it streams a full draft, asks for anything missing, then creates a complete job with assessment criteria, interview questions, a career-page ad, and social posts.
- Filter a list from anywhere: asking something like "show me candidates in London" or "which of our clients are in fintech" filters the Candidates or Clients grid. On that page the panel closes and the grid filters; from any other page (home, a record) Lovelio takes you to the list with the search applied and the conversation follows in the dock. The filter goes on the address bar, so the filtered view is a link you can share and the back button walks it. The assistant never lists records as chat text, and a question is never left unanswered; jobs, interviews and placements have no text filter, so those get a count with a single link instead. Client contacts are the exception: when you ask who to call, you get the name, title, email and phone in the answer, because that IS the answer.
- Navigate: "take me to placements" or "open the marketplace" jumps you straight there. On desktop, the panel shrinks to a small dock in the corner of the destination page so the conversation follows you; expand it any time to get the full thread back, or close it. On mobile the panel closes on navigate.
- Teach where pages live: "where are my placements?" style questions navigate you AND show you the way. The matching item in the left rail pulses and a one-line callout explains where the page lives ("Placements live under Clients"), then fades after about nine seconds. This lesson shows once per person per destination and is remembered in your browser, so it does not repeat.
- Voice: the composer has a mic for spoken input, and holding the Space bar anywhere (outside a text field) talks straight to the assistant.
Confirmation cards
Anything significant shows a confirmation card before it happens: creating records, sending or scheduling emails, stage moves, offers, booking meetings. When you create a client, contact, candidate, application, placement, job ad, or talent pool from the top-bar Ask box, a compact review opens under the box with every value you supplied already filled in. Client review can include the company's phone, several locations and one or more contacts. Candidate review includes the staged resume when one was attached. You can correct everything without leaving the page, then create and open or undo the record from the receipt. Jobs use the richer job builder because they need a full brief, and the whole request, including the matched client, is carried into it. Email cards show the actual email so you see exactly what will be sent. Nothing changes until you confirm. Low-risk actions like adding a note, recording an interview outcome, or cancelling a scheduled email run directly.
The assistant can move a candidate to any valid pipeline stage after showing a confirmation card. It uses the same shared workflow as the job page, Slack and the API, including the hard rule that a candidate cannot enter Submitted, Client Interview, References or Offer until a real client submission exists. It can also run the actions that move stages naturally, such as sending a submission, booking an interview, logging an offer, rejecting, withdrawing and logging a placement.
Follow-up chips
After every answer, two or three follow-up chips appear below the response. Tapping one sends it as your next message. After a navigation, the chips are relevant to the page you just landed on.
Product questions answered from documentation only
When you ask how Lovelio itself works ("how does search rank results?", "what happens when I send a submission?"), the assistant answers only from Lovelio's own written documentation, never from general knowledge about how similar products work. If no documentation covers your question, it says so plainly and the gap is automatically flagged to the Lovelio team. It never guesses at mechanics.
Ask on a record
Candidate slideouts, the applicant panel, job pages, client slideouts, and BD targets each carry an "Ask" tab scoped to that one record. It answers only from what is inside Lovelio about that record. It never calculates or estimates figures itself, and if there is not enough history to answer, it says there is not enough history in Lovelio yet rather than guessing.
Limits and edge cases
- Navigation respects permissions and plan. If your role cannot see a page, or the destination needs an active plan, the assistant explains why in one line instead of navigating. In Slack it sends a link rather than moving your browser.
- It knows who you are: your name, email, and timezone. "Book a call for me tomorrow at 3pm" resolves in your timezone; you never need to give your own details.
- Everything the assistant does is bounded by your role's permissions, the same as the UI.
Common questions
- "Why won't it move my candidate to Submitted?" The candidate needs a real client submission first. Ask Lovelio to submit them, then move them if the submission itself did not already do it.
- "Why did the panel shrink to a small box?" That is the dock. The assistant navigated you and kept the conversation alive in the corner. Click expand to get the full panel back.
- "Why did it filter my page instead of answering?" On a list page, search-style questions filter the grid on purpose; the results belong in the grid, not in chat.
- "Why does it say it has no documentation on my question?" No help card covers it yet. The gap is logged automatically; it refuses to guess.
- "How do I make it focus on one candidate?" Open the candidate's Ask tab, which is scoped to that one record.
