Automations and the review queue

Lovelio automates the admin around a placement and tracks every decision that genuinely needs a human on one review queue. Anything Lovelio handles by itself never lands on it, so the queue is decisions only. The queue reaches you three ways: the do-next verbs on the home money belt's own rows, notifications (the bell plus email), and the daily Slack digest, which lists everything currently on it. The old "Up next" card deck on the home page was retired in August 2026.

Automations: what runs by itself

Settings > Hiring > Workflow holds the three cards that shape this: how strict the AI is, how long before Lovelio requests feedback (off until an agency turns it on), and references. The stages a candidate moves through stay the same (Funnel, Yes, Screen, Submitted, Client Interview, References, Offer, Placed); the Candidates tab on a job shows the live count at each one. Key automatic behaviour:

  • When someone applies: the resume is parsed onto the candidate record, the AI scores Job Fit against the role and Client Fit against the client's DNA, an acknowledgement email goes to the candidate, and the consultant is notified.
  • The AI verdict is a suggestion, never a move. If both fit scores clear the advance thresholds the suggestion is Yes; at or below the reject thresholds it is No; anything in between is a Maybe. The suggestion shows as a chip on the candidate's row in the job's Funnel, with the score. Nobody leaves the Funnel until a consultant marks them Yes, No or Maybe, and the AI fires no emails, no webhooks, no automations. The AI never rejects anyone - a rejection email always needs a person to send it.
  • Phone screens are scored out of 100. Each answer gets 0 to 5: an answer that says nothing (gibberish, off-topic, refused) scores 0, so a screen of empty answers rolls up to 0, never a padded floor. At or above the advance threshold the recommendation is submit to the client; at or below the reject threshold the recommendation is park. In between is the consultant's call. Recommendations never move a candidate on their own.
  • References run on autopilot: the candidate gets a secure link to add referees, each referee gets a questionnaire link, and the candidate is told when everything is in. With feedback requests on, the candidate gets a follow-up if details do not arrive and you are told if they still do not, and a referee who has not answered is asked again. References never block the pipeline.
  • Interviews: booking a client interview moves the candidate to Client Interview automatically and the candidate is invited and reminded 24 hours before. With feedback requests on, the interviewer is asked for feedback once the deadline passes (48 hours on Normal).
  • Submission links sent to clients expire after 7 days.
  • Logging a placement moves the candidate to Placed, sends a congratulations email, posts the win to Slack, and puts the fee into the Placements forecast.

The rules and where to change them

Settings > Hiring > Workflow has three cards.

  • How strict is the AI? One dial: Generous, Balanced or Strict. Balanced is the default: Yes at Job Fit 75 and Client Fit 60, No at 50 or lower on either, hot at 80 on both, phone screens advance at 70 and park at 45. Generous is 65, 50, 40, 40, hot 75, screens 60 and 35. Strict is 85, 70, 60, 60, hot 90, screens 80 and 55. Open "View / edit the numbers" to change any one of the seven; the dial then shows Custom until you pick a position again, which puts all seven back. A candidate is hot only when both scores clear the bar.
  • How long before requesting feedback? Off for every agency until someone turns it on. Off means Lovelio never asks a client for a reply, an interviewer for feedback, a candidate for referee details or a referee for an answer on its own; you ask when you choose. Relaxed, Normal and Fast set the waits: a client reply after 5, 3 or 2 days; interview feedback after 72, 48 or 24 hours; referee details after 5, 3 or 2 days, telling you at 10, 6 or 4; a referee asked again after 5, 3 or 2 days. "View / edit the numbers" edits any one wait, which shows Custom.
  • References: how many referees Lovelio asks for (2 by default, 1 to 5) and whether client feedback is collected by phone only or by phone or an emailed form.

Changes stack in a bar at the bottom of the page and save together. A reject bar can never sit at or above its advance bar. The same rules change in plain English through the AI assistant in the app ("make the AI strict", "turn feedback requests on", "raise the auto-advance threshold to 80"): Lovelio shows exactly what will change first, and nothing saves until you confirm. The rejection reminder (a nudge after 3 days in No) is not on the page; it stays as it is.

The review queue: what lands on it

Items include: an AI score in the grey zone (Maybe verdicts only - clear misses never flag), new strong matches, candidates sitting unreviewed in the Funnel for 5+ days, an interview invite the candidate has not answered after 3 days, a client asking to interview a submitted candidate, a client passing on a candidate, a submission the client has not replied to past your follow-up window (only when feedback requests are on), a question a client asked on a submission or a float that nobody has answered after 2 days, candidates owed a rejection, an offer with no placement logged after 2 quiet days, a guarantee ending within 7 days, a placement starting today or tomorrow, returned references and reference red flags, fee change requests waiting on an approver, spec (float) responses from clients (interested, opened but silent after 3 days, or never opened after 5), and workforce movement detected at a client. The stalled, invite, guarantee, rejection, and offer windows come from a daily sweep; those day counts are fixed except the rejection and submission follow-up windows, which are settings.

Candidates a consultant added themselves never hit the queue as "strong match" or "flagged for your call" - those flags are reserved for people who applied on their own.

Where each decision surfaces in the app

  • Client responses on submissions and floats (interview requests, questions, no-reply follow-ups) carry their do-next verb on the matching money belt row: Book interview, Answer, Follow up, Create job.
  • Client feedback also raises a notification and an email to the consultant, every time.
  • Offers with no placement, upcoming starts and guarantees show on the belt's Offers zone and the Placements table.
  • Candidates owed a rejection raise a bell notification that opens the candidate's deal file; rejecting happens from the job's Candidates tab (Reject and Notify) or the close-out flow when a job closes. Nothing emails without you pressing Send.
  • A cancelled interview or a no-show raises a bell notification whose link opens the rebooking form. Marketplace share suggestions (an aging job, a strong runner-up) and reference red flags raise one too - once per record, never repeated.
  • The full queue, every type included, goes out in the daily Slack digest and is readable through the V1 API.

Resolving items

Items resolve themselves when the underlying question is answered: moving a candidate's stage clears their open items, booking the requested interview clears the request, logging the placement clears the offer item, a client replying clears the quiet-submission item, and writing back to the client clears their unanswered question. Each signal only ever has one open item per candidate, application, submission, or client at a time; if a condition persists, the daily sweep raises a fresh one.

Common questions

  • Does the AI ever reject or email a candidate on its own? No. It sorts triage and drafts emails; a person always presses Send.
  • Why did a candidate I added not get flagged as a strong match? Deliberate. You chose them - flags are for self-applied candidates.
  • Where did the "Up next" cards on the home page go? Retired in August 2026. The money belt's own rows carry the same do-next verbs, the bell carries the decisions the belt cannot show (due rejections, cancelled interviews and no-shows, marketplace suggestions, reference red flags), and the daily Slack digest lists the whole queue.
  • Can I turn off the rejection prompts? Not from the Workflow page. The reminder fires after 3 days in No, and the auto_reject_no_enabled switch remains on the V1 workflow-rules endpoint.
  • Why has nobody been asked for feedback? Feedback requests are off until an agency turns them on: Settings > Hiring > Workflow, "How long before requesting feedback?", pick Relaxed, Normal or Fast.
