Contractor documents

Open a contract placement (the Placements tab on Clients, or the Contractors page) and the Documents box shows what this contract needs and what is on file. It shows while the contract is waiting to start or running. Once a contract has ended the box goes away.

Further down the placement, Files holds anything uploaded to the placement itself, such as the signed contract. The Documents box is the compliance list; Files is the file store.

What the box shows

Each line is one document: its name, a short line on why this contract needs it, and on the right either "Missing", the date it runs to, "No expiry" or "This contract". Right to work problems show in red; every other document in amber. The chip beside "Documents" sums it up: "Ready" or "All current" when nothing is wrong, "2 missing" before the start, or "Visa ends first" / "Ends before the contract" while it runs.

Above the list it says which rules it used, for example "Australian rules". The country comes from where the work is. When the workplace has no country yet, Lovelio uses the agency's own country and says so. For a country Lovelio has no rules for yet, it says "Basics only" and asks for right to work plus anything the job lists. If Lovelio could not read the job's requirements at that moment, it says the job's certificates are not listed yet.

Recording a document

Click a line to open it. For right to work, pick their status (citizen, permanent resident, on a visa); for a visa, add which visa and the date work rights end. For other documents, add the number and the date (an Australian police check takes the date it was issued, the rest take the expiry). Drop the photo or PDF in, or pick a file already on the candidate's record, then Save changes. Documents live on the person, so the next contract in the same country starts with them. A document marked "This contract" (like public liability for one ABN engagement) belongs to that contract only.

A document that is on file opens to show who checked it and when, the file, and an Edit link. When one has ended or ends before the contract does, the line opens straight to the new date and a place for the new file.

Asking the contractor for it

"Ask Priya for it" drafts an email for that one document: what is needed, by when, and what will do (a photo of a passport page is fine). Change anything you like, then Send. It goes from you through Lovelio, and the reply lands on the candidate's record. A link to their own page goes under your words, where they can upload the file straight into their Documents. Nothing is ever sent without you clicking Send.

A document they upload on their page shows as "To check" until someone looks: open the line, check the file and the dates, and Save changes to mark it checked.

Not needed for this contract

"Not needed for this contract" drops one document from this contract only. Every other contract still asks for it, and Undo puts it back. Right to work can never be marked not needed.

On the Contractors page

The Contractors page shows the same documents for everyone at once, worked out exactly as the Documents box works them out, so the two always agree.

  • Documents to chase, the figure at the top, counts contractors with a document missing or ending before their contract does. Click it to show only them.
  • A diamond on a contract bar marks the day a document stops counting: red for right to work, amber for anything else. A chip after the bar names the first one, with "+2" for the rest.
  • Documents, next to Timeline, turns the tab into a to-do list: one row per contractor, however many documents they have. Right to work problems come first, then the date something is needed by ("Now" when it is already due). Each row says what needs doing, for example "Police check missing" or "Visa ends 14 Mar, 3 weeks before the contract". Contractors with nothing to chase sit under All current, with the next date a document ends.

Click any row to open the placement, where the Documents box has "Ask Priya for it". Finished contracts are left out. While Lovelio cannot read documents (for a few minutes after an update), the figure, the diamonds and the Documents view stay hidden rather than showing everything as missing.

Reminders when a document ends first

When a document a running contract needs stops counting before the contract ends, the placement's consultant hears about it in the bell and by email, from 8 weeks before the document ends: "Priya's police check ends on 14 November, before the contract at Acme does." It is sent once per document end date, so recording a renewed document with a new date re-arms it. It follows the contract end reminder rules: the "Contract end reminders" switch in Settings under Email Automations, 8am on a weekday on the consultant's clock, and the agency's longest-standing admin when the placement has no consultant. Lovelio never chases the contractor by itself; the reminder is for you, and "Ask Priya for it" is how you chase.

Ask Lovelio, Slack and the API

Ask Lovelio and Slack can check a contract ("what documents does Priya's contract at Acme need?"), record a document ("Priya's police check is dated 3 March 2026") and mark one not needed for a contract. Writes show a card to confirm first.

The V1 API has the same doors: GET /api/v1/candidates/{id}/papers lists a person's documents, POST to the same path saves one, GET /api/v1/placements/{id}/papers returns what the contract needs and each document's status, and PUT or DELETE /api/v1/placements/{id}/papers/{kind}/waiver marks a document not needed or asks for it again. Right to work can never be waived there either. MCP agents get the same as list_candidate_papers, get_placement_papers, save_paper and waive_paper.

Starting the contract

Mark started is never blocked by documents. While documents are missing, the line under the button says what is not on file yet. If you start anyway, Lovelio says what it started without and offers the same Ask link.
