Email templates, brand voice and sending

Three pages control how Lovelio emails sound. Emails sets the wording, Brand sets the voice, and Sending sets who they come from.

How do I change an automated email?

  1. Open Settings > Hiring > Emails. The page has two sections: Email Automations on top, then Email templates.
  2. Find the email. They are grouped as Candidate emails, Interviewer emails, Referee emails and Form emails. The system emails sit with them: the portal sign-in link, talent pool join confirmation and notification, and the client follow-ups.
  3. Click the row. A side panel opens.
  4. Choose how it is written, then press "Save changes". "Cancel" closes it without saving.

The panel shows the trigger (what sends it), a status checkbox, and "Variables you can use" for the merge fields.

Row tags: "Disabled", "Locked copy", "Customised" and "Lock recommended".

Only people with the team settings permission can open this page.

AI writes it, or Use approved copy?

The panel has "How this email is written" with two choices.

  • AI writes it. You give "AI instructions" (the box says "Tell the AI how to write this email..."). Each email is written fresh in your brand voice. "Reset to default" puts the instructions back. "Preview with sample data" shows one.
  • Use approved copy. You write a Subject line and a body. It goes out word for word. Only the {{variable}} fields are filled in. Nothing is rewritten. You need both a subject and a body, or it says "Add a subject and body before saving."

Rejection emails are marked "Lock recommended". Approved copy is the safe choice where wording matters.

"Send test to me" sends it to you. It is switched off while you have unsaved changes, so save first.

The system emails

The portal sign-in link and the talent pool emails are edited the same way and always go word for word. Their button, such as "Sign in", is added from a link variable, so it cannot be dropped.

The four client follow-ups (floats and submissions) never send on their own. They land as a draft in the compose panel for you to read and send. See the Email card.

Brand voice

Open Settings > Brand. It has your logo, fonts and colours, then a "Brand Voice" card. The card shows "Set" once a voice exists. Until then it says to open Advanced settings.

  1. Press "Advanced settings". The "Writing style" panel opens.
  2. Press "Analyse website". It reads your site, so your website must be set first in Settings > Company profile. Later the button reads "Re-analyse".
  3. Read the Summary, Tone and "Evidence from your website", plus words you use, words to avoid, sentence style and industry language.
  4. Move the Tone sliders if you disagree. There are seven pairs, for example Cool and Professional to Warm and Human, or Short and Punchy to Narrative and Descriptive.
  5. Edit "Writing instructions" by hand if you want. "Reset" rebuilds them from the sliders.

It saves as you go: Saving, Saved, or "Save failed - please try again". "Re-fetch brand assets" pulls your logo and colours again.

Brand voice is for emails and copy written as your agency. Job ads are written in the client's voice and do not use it.

Who do emails come from?

Open Settings > Hiring > Sending. "Sender identity" has "Agency name on emails" and "Reply-to address". If a person has connected a mailbox, their emails go out from their own mailbox, and the page says so. The domain setup is in the Email card.
