Getting started: your first screen

After the card step, a new agency lands on one screen that asks one question at a time. On the right, the account builds itself as you answer: your agency, the facts you have given, your patch once you confirm it, and each client website as it turns into a client with live jobs. A thin bar across the top shows how far along you are. Every question needs an answer: there is no skip, because each answer sets something up for you. Every answer can be changed later in Settings.

The four parts, in order

  1. Your data. Which email system the agency runs on (Google, Microsoft or something else). For Google or Microsoft, the next question connects your own mailbox: press "Connect Gmail" or "Connect Outlook", say yes on the Google or Microsoft screen, and you come straight back with "Connected. Your emails go out from" your address. It must be the address you signed in to Lovelio with. If the connection does not work, the screen says why and offers "Carry on without it", and your home page keeps a Connect button until it is done. What you run recruitment on today (JobAdder, Bullhorn, Vincere, RecruitCRM, something else, or nothing yet). Whether you want your data brought across or a fresh start; saying "nothing yet" means you are not asked. Pick "Bring it across" and the Lovelio team hears about it straight away and will be in touch to move your data for you.
  2. Let's get recruiting. Paste the websites of up to ten clients you work with, one per line or separated by commas. At least one is needed. Press the button (or Cmd+Enter) and Lovelio reads each site's careers page, adds each one as a client under Clients, and lines up every live job it finds for you to pick from. Nothing is added as a job on its own. The reads start the moment you press the button, so the rail on the right shows each website going from "In the queue" to "Reading their careers page" to "N jobs to pick" within seconds, or a plain reason when a site cannot be read (no careers page found, no jobs listed right now, the site sits behind a bot check, or the site asks not to be read by robots). Ten on this screen. Lovelio also reads your own website once, alongside them, so the jobs you advertise there line up too; your own site never becomes a client and is not on the watch list. Each client is also added to your watch list on Opportunities, so a job they post next week shows up as new. Reading a careers page is included in your plan and never costs a credit.
  3. Your patch. Lovelio reads your own website and drafts what you recruit: roles, sectors, seniority and where. The draft takes well under a minute. Take off anything that is not you by tapping it, add a role, sector or place with the "Add" pill on each row, tap every place you cover (the city, the region, the country, or ones you type), and "Continue" saves it. That is what Lovelio searches the job boards for every night. If the draft is not ready yet, or none of it fits, you say what you recruit in your own words, for example "Accountants and finance managers in Sydney and Melbourne", and Lovelio works out the patch from that. It can be edited any time in Settings under Your Patch.
  4. Your agency. Your standard fee as a percentage of first-year salary, and whether you want Lovelio to help with new business development. The last answer's button is "Take me to my new account". Saying yes to new business has Lovelio find up to 12 companies like your first clients and inside your patch, once, and add them to your watch list on Opportunities. When they post a new job, Lovelio drafts a float of the people in your database who fit it, ready for you to check. It goes to the client only when you press Send float.

Where things end up

  • Every answer is saved the moment you give it, so a closed tab loses nothing and a reload picks up at the next question. Your standard fee becomes the agency's fee schedule, so every placement is priced at it from day one; change it or add tiers in Settings under Fees & Terms. Teams are set up in Settings, Teams when you want them.
  • Client websites become clients under Clients. The jobs read off each careers page wait for you on Jobs: the first time you open Jobs, a review lists every one with the client, the location and a link to the original ad. Tick the ones you want and press "Add N jobs", or "Add job" on a single row; those become Active jobs on the client, badged "From their site", and each one gets its job criteria, screening questions and a Draft job ad written in the background (in the client's voice, never naming them). Jobs from your own website show "Your website" in the Client column and a "Whose job is this?" button: pick the client (or add a new one from the same picker, or pick your own agency for an internal hire) and the job is made on that client straight away. They are never added without that answer, so "Add N jobs" leaves them out. "Not for us" leaves the ticked ones out for good. "Done, show me my jobs" or "Skip for now" saves the rest for later and shows the normal Jobs page. Nothing is lost: a client with jobs still to pick shows "N jobs to pick" in its Jobs column on Clients, and that chip reopens the review for that client. Jobs from your own website still to pick show as "N jobs from your website to pick" beside "Closed jobs" on Jobs, which reopens them.
  • Missed the websites question, or want more clients read in later? Clients has "Add from websites" beside "Add client": the same paste box, up to ten at a time. Press "Add to Lovelio" and the popup closes; each client appears in the list as its site is read. Pasting a website that was already added reads it again rather than making a second client.
  • When the screen ends you land on Jobs with a short "You are set up" card: how many clients were created, how many live jobs were found, and the one step left, picking the jobs you want to work. "Start recruiting now" closes it and the review is right there. A site still being read finishes in the background and its jobs join the review.
  • The patch is under Settings, Your Patch, where it can be edited any time.
  • A welcome email follows once the finds have settled, usually within half an hour of the last question: how many clients were added and the open jobs on their careers pages, the roles on your own website, the people found on the web for your first jobs, and, if you said yes to new business, how many companies like your clients Lovelio found and is watching. Anything still being found is said as such. Someone who does not finish the questions gets a short welcome the next day with a link back to them.
  • A mailbox connected on this screen is the same connection as Settings, Email & Calendar, where it can be checked, reconnected or disconnected. Emails you send from Lovelio go out from your own address and land in your Sent Items. If you carried on without it, Settings offers the right button (Outlook or Gmail) and the home page says where email goes out from until it is connected.
  • Nobody is asked for names, emails or who can see what on this screen. Invite people from Settings, Users when you are ready.

Common questions

  • Why only ten? So the first screen stays quick. Other clients are added from Clients as usual.
  • Where did the clients from my first screen go? Under Clients, each with the jobs read off its site under Jobs, badged "From their site". The home page does not list them.
  • A client's website showed "No careers page found". Lovelio could not find a page listing their jobs from their homepage. The client is still created under Clients; add their jobs there by hand.
  • Why did a site say "Read 14 pages, kept 9"? Careers sites mix job ads with pages about benefits, blogs, student programmes and fraud warnings. Lovelio reads each page it finds and keeps only the ones shaped like a job ad: a title that is a role, and an apply button or the usual parts of an ad (location, type, salary, closing date, responsibilities). A team page ("Engineering at Acme"), a benefits page, an early careers page, a slogan ("Build the future with us") or a page whose body is the site's own menu is never a job, whatever it is called. Pages that are not ads are left out and counted in the note, so "kept 9" means nine real ads. If an earlier read did let one through, a nightly sweep removes it through the normal delete, with the reason on the job's activity, and never touches a job that already has applications. When a site lists its jobs on a page Lovelio cannot read, the note says it found the careers page but no job ads on it; add those jobs by hand.
  • Where do I change an answer later? In Settings: the patch under Your Patch, your mailbox under Email & Calendar, fees under Fees & Terms, targets under Quotas.
  • I did not get a welcome email. It waits until the questions are finished and the finds are done, up to two hours. Check spam for an email from Lovelio.
  • Does reading a careers page use my credits? No. It is included in every plan.
