Interviews in Lovelio are one of two types: internal (your own screen with the candidate) and client (the candidate meets the client). Booking, rescheduling, cancelling, outcomes and reminders work the same wherever you do them - the wizard, chat, Slack or the API - and every scheduled interview appears on the calendar.
Every interview in the business
The Jobs page has an Interviews tab (/jobs?tab=interviews) listing every interview across the agency in one table - everyone's, on every job you can see, not just the ones on your own desk. The tab's count is how many are booked and still to come.
- Two groups on screen: Upcoming (booked, soonest first, marked Today on the day) and Held (happened, and nobody has logged how it went yet - Awaiting feedback for the first two days, then Feedback overdue, with a Held column counting the days). Settled interviews from the last 90 days - went well, not the right fit, no show, cancelled, or feedback already in - sit behind a "Show settled interviews" link.
- Columns: when, the candidate, the job and its client, whose interview it is (yours or the client's, with the round), where it happens, which consultant booked it, and the status. Every column sorts; a third click on the same header goes back to time order.
- Search across all of it, or narrow to one client or one consultant with the two pickers (the consultant picker starts on Everyone).
- Click a row and the interview opens in the same panel the home page and the job's candidate list open - the deal file at the interview step, with the interview's own verdict, who is coming, references and feedback. Nothing is booked or logged from the table itself; that happens inside the panel.
- The home page's Interviews zone is your own live money on open jobs, and drops a held interview three weeks on. The Interviews tab is the whole book: every job status, every consultant you can see, and a held interview stays in Held until somebody logs it.
Internal vs client interviews
- An internal interview is the agency's own screen. Booking one moves a Yes candidate to Screen - the Screen stage holds phone screens and internal interviews. It never moves a triage candidate (Funnel, Maybe, No) and never touches a candidate already with the client.
- A client interview is the candidate meeting the client. Booking one automatically moves the application from "Submitted" to "Client interview". This is the only stage move booking ever makes.
- The move only fires from Submitted. A candidate still in triage (Maybe, Yes, No) cannot be jumped onto the client side by booking, because a client interview presupposes a submission. An application already at Client interview, Offer or Placed is never pulled backwards.
- Client interviews link back to the submission that produced them.
- Emails follow the interview type. For a client interview the interviewer-side emails go to the client contact (the submission's contact first, else the job's contact, else the client's primary contact). For an internal interview they go to the consultant who booked it.
- You choose the type wherever you book. The booking wizard asks "Who runs this interview?" up front, with the stage's usual answer listed first (a Yes candidate defaults to your interview, a Submitted one to the client's). In chat, say so ("book a client interview for...") or set the type on the API call (its field is named flavour). For the agency's own internal hiring there is no external client, so the wizard skips the question.
How to book
- When the client has already asked, you are not asked again. A client who requests an interview from the submission page usually leaves the times that work for them. Everything the wizard would ask is answered by that reply, so the notification, the belt row's Book interview button and the Interview button all open one screen instead: who is meeting, the times they gave, how and how long, and the candidate's email. A window the client gave ("12 to 4pm") shows as pickable hourly starts - 12, 1, 2 and 3 for an hour-long interview - each one separately offerable, and changing the interview length redraws which starts fit. Times show on the client's own clock, with their timezone named whenever it differs from yours, and a time outside 8am to 6pm is marked "outside work hours" (it stays bookable - the client runs the interview). Drop any time that will not work, change what you like, then send. If it is in person and the client has no address on their record, that screen asks for it there and saves it onto the client, so you never leave it for one field. "Change something else" hands over to the full wizard if you want a different shape entirely. If every time the client gave has already passed by the time you book, the wizard opens instead and says so at the top ("Sarah asked to interview Aisha, but the times they gave have passed - pick new ones with them"), so the request is never mistaken for a booking nobody asked for.
- From a candidate's panel with nothing already asked, the Interview button runs the whole booking as a wizard, one question per step - there is no separate booking form. If an interview is already booked it first asks whether you want to run it (opening the interview form) or book another. Then: who runs the interview (yours or the client's); on your own interview, whether you already have a time with the candidate (book that time) or want to offer them times to choose from; the format (phone or in person, plus video on your own interviews - the phone card names who dials and the candidate's number, and locks with the reason when the candidate has no phone number on file); where it happens (video: a Lovelio call room or your own pasted link; in person: your office, the client's office, or any address via the address search); then who is on it - on your own interview, who from your team is interviewing (you start selected, up to three); on a client interview, who from the client is on it instead (the person who asked for the interview starts selected, else whoever owns the job at that client, up to three, and nobody from your team goes); how long it should be; and the time - either the times to offer from your team's real availability, or the agreed time said or typed in plain words and read back as a real date and time before you book. The last screen is the review: who gets what, the candidate's email (edit it, draft it with AI, or preview exactly what the candidate will receive), and the send button. On a client interview the review also shows the exact email the client contact will receive, word for word, so you see what is being sent to both parties before anything goes out - the client's copy is fixed wording and sends the moment you book.
- The first in-person interview at your own office asks for the office address once and saves it for the whole agency. From then on it is one click, and an admin can change it in Settings > Company > Profile (it is also filled automatically from your website when your account is set up, when your contact page shows it).
- A client's office works the same way. Their address is filled automatically from their website when the client is created, so most client interviews are already one click. When there is nothing on the record, whichever screen you are on asks for it once - the wizard, or the one-screen confirm when the client has already asked - and saves it on the client, so nobody types it again. Neither capture can overwrite an address already there - to change one, edit the client's Overview tab.
- Chat (Ask Lovelio, Slack, the API): describe what you want and Lovelio stages a draft with predicted defaults (format from the job's default interview format, interviewer from the job's default interviewer or the application's owner, 30 minute duration). You get a review card, edit any field, then confirm. Confirming refuses while time, format or interviewer is still empty, so nothing half-specified ever gets booked. The calendar page's "Book interview" button opens this same draft flow.
- Formats: phone, video, in person, technical, panel. Video is for interviews you run - a client interview is phone or in person, and asking for a video one is refused wherever you ask. In the chat draft flow, an in-person interview also requires a location before it can be confirmed.
Booking an exact time checks everyone's availability first, wherever you book from - the wizard, chat, Slack or the API. Lovelio looks at each person's Lovelio calendar (and their Google Calendar, where connected): your interviewers, the client contacts on the invite, and the candidate. If someone is busy, the booking stops and tells you exactly who and when ("Sarah is busy 9:00 am - 10:00 am on Tue 18 Aug"), offers up to three nearby times that work for everyone, and asks whether to book anyway. Nothing is booked until you choose. If someone's connected Google Calendar cannot be read (for example their connection broke), the booking still checks their Lovelio events and shows a warning naming them, so you know their Google events were not included - it never silently treats them as free.
When am or pm is left out, Lovelio assumes normal business hours. One through six means pm, eight through eleven means am, and twelve means noon. An explicit "6am" or "6pm" always wins. "Midday" and "noon" are always 12 pm and "midnight" is always 12 am, however they are said or transcribed - "mid day", "12 noon", "the middle of the day" all book twelve o'clock, never a vague afternoon.
A run of days is read as every day in it. "Any day next week at 9am" comes back as all five working days at 9am, not just the Monday; "Monday to Wednesday, 9 to 12" is three days each carrying that window. Weekends are left out unless they are asked for ("any day including the weekend"). Six times is the most that ever comes back, and days that have already been and gone drop out.
Rescheduling runs exactly the same check on the new time, from everywhere you can do it - the interview panel, chat, Slack or the API. The interview you are moving never counts against itself, so nudging it half an hour is always clean; only OTHER commitments block. Same outcome as booking: the move stops, names who is busy and when, offers nearby times, and moves only if you say book anyway.
What happens on booking: the activity is logged and a calendar event is created when a time is set. A video interview booked without a meeting link gets a Lovelio call room automatically, and the candidate's invite email carries the join link. If the interviewer has a calendar connected, the event syncs to their own calendar (nobody outside the agency is invited to it): video and technical interviews get a Meet link, phone interviews put the candidate's number in the description, in-person interviews put the job's location on the event.
A phone interview is always conducted on the candidate's number, and everyone who needs it gets it: the booking card says who is dialling and on what number ("Harbourline Property calls Mia on +61 401 558 843"), the confirmation email to the client contact and to your own interviewers carries "Call [candidate] on [number]", and it rides the calendar invite all three parties hold. The candidate's own email tells them which of their numbers is being rung, so a wrong number surfaces before the call rather than during it.
Where an interview is up to is said once. The home page, the job's candidate list, the interview panel and the client's shortlist page all read the same state: requested (the client asked, no time yet), booked (a time is locked, and whether the candidate has confirmed), held (the time has passed and nobody has logged how it went), logged, or cancelled. They cannot disagree about one candidate. A candidate who picks a time from their link has confirmed by picking it: the panel says they have confirmed, they are not asked again over WhatsApp, and the client's shortlist page shows the booked time on the client's own clock. Once the time has passed, the panel always offers "Log client feedback" (or the scorecard on your own interview), whatever the confirmation stamps say.
How the candidate confirms. Their booking email carries one button - "Confirm and add to your calendar" - which opens a page showing when, where and who with, straight from the email with nothing to sign into. Pressing "Yes, I'll be there" stamps the interview as candidate-confirmed, raises the card on your home page, logs it on their record and the application, and rings the bell. On a client interview it also emails the client contacts on it - "[candidate] has confirmed", with the calendar invite attached - so the client hears the moment the candidate says yes, not only when the time was first booked. The same page then hands them the calendar file. They can come back to that link any time for the calendar file, and confirming twice does nothing twice.
How the client contact confirms. Exactly the same way, on the same page, with their own link. Their booking email carries a "Confirm you'll be there" button; the page greets them by name, says who they are meeting and reads the phone interview from their side ("Call Mia Robertson on ..."), and pressing it stamps the interview as client-confirmed, raises the home card, logs it on the record and rings the bell. Each contact on the interview gets their own link, so two people on the same booking confirm separately. Once one of them has confirmed, the later "[candidate] has confirmed" email stops asking again.
Nobody outside the agency is a guest on your own calendar event, and nobody outside the agency gets an Accept button in their mail client. Both are deliberate. The event in your diary carries you and your interviewers; the candidate and the client contact get their own calendar file by email, so the interview lands in their calendar exactly once rather than twice. A mail client's Accept answer is emailed to whoever organised the meeting, not to Lovelio, so a candidate or a client could press Accept, see "Accepted by you" in their own inbox, and still show as unconfirmed to you. The candidate and the client contact both get a plain "Add to calendar" file and a confirm button that reaches Lovelio. Your own interviewers keep the invite with a working RSVP, because their answer reaches another consultant's mailbox where it is useful.
If the company has WhatsApp connected and the candidate has a phone number, the candidate also gets a WhatsApp message asking them to reply YES to confirm. Their YES is recorded the same way as the button. Chat bookings send the message instantly; bookings made elsewhere are picked up by a sweep within 10 minutes. A candidate is never messaged twice for the same interview.
If the company has the Recall AI notetaker connected, a notetaker bot is dispatched for Zoom, Google Meet and Microsoft Teams meetings only. Notetaker minutes are capped by plan; over the cap the bot is silently skipped and the interview is unaffected. When the transcript is ready, Lovelio drafts answers into the interview form with confidence labels; the form always stays in human review, it is never auto-completed.
Offering times (candidate self-scheduling)
Instead of picking a time yourself, you can offer the candidate times to choose from. It is a choice, not the only way: if you have already spoken to the candidate and agreed a time, answer "Yes - book that time" on the wizard's time question and say when ("4pm on Friday"). The candidate gets the invite and the calendar file straight away instead of a pick-a-time link, and your interviewers get theirs. Times off your own team's calendars are for interviews you run. A client interview can only ever offer times the CLIENT gave you - your team is not in that room, so their diaries have no say in it, and a time the client never named would reach the candidate as one the client had agreed to. It works for applicants marked Yes, and for anyone already with the client at Submitted or Client interview - a second conversation of your own with someone on a submission is still your interview. You pick one to three interviewers, then the times. Lovelio lists EVERY time that is free for every interviewer inside their preferred hours, grouped by day, with three across three days already ticked - change them, or pick up to 12. Any slot already offered to another candidate is held, so two candidates can never book the same interviewer at the same moment. The candidate gets your written email with a pick-a-time button and books through the link.
On a client interview the wizard asks who from the client is on it, listing that client's contacts. The contact who asked for the interview starts selected, falling back to whoever owns the job at that client; you can add up to three or take them all off. What they get: the calendar invite and the .ics the moment the time is booked, a second email the moment the candidate confirms they will be there, and both worded for someone outside the agency - their reply threads onto the client record. The confirmation invite is the same calendar entry, not a second meeting: it updates the one already in their diary. When you book the interview yourself (the wizard, chat or the API), the invite to the client contact and to your own interviewers goes with the booking - you saw the words on the review screen and the form's own send-emails choice is the switch. The "Interview confirmation - interviewer" automation in Settings under Email Automations governs the doors where Lovelio acts on its own: the candidate picking a time from their link, and the "candidate confirmed" follow-up to the client. Switched off, those are skipped, the application timeline gets an "email skipped" entry naming the recipient and the reason, and the interview panel's "Who is coming" row says "No invite sent" for that person instead of "Invited"; the from-now-on rule applies, so an interview created before you switched it on is skipped too. The candidate's own booking email is separate and always goes. What they do not get: the pick-a-time link (that is the candidate's alone), and - while the candidate is still choosing - anything at all. They asked; the only thing worth their attention is a confirmed time, and that arrives with the invite the moment the candidate picks. A contact with no email address on file is not offered, because there is nobody to invite; add their email on the client record first. Internal screens never show this picker.
Preferred interview times
Each consultant can tell Lovelio when they like to interview, in their own words, at Settings > You > Profile ("Mon to Wed, 9am to midday. Never Fridays."). Type it or say it with the mic. The sentence is the setting; Lovelio's reading of it shows back as chips before you save, so a misread can never hide - if the chips are wrong, edit the sentence. It is a personal setting: nobody sets it for you, and an admin cannot set it for anyone.
What it changes when booking:
- Suggested times respect everyone on the interview: a slot is only offered when every interviewer is free AND the time sits inside their preferred windows. A time someone excluded ("never Fridays") is never suggested.
- Preferences never leave you with nothing. When the preferred times are too thin, free-but-not-preferred times pad the offer to at least 4 slots, shown dashed and labelled with whose preference they fall outside.
- Booking by hand is never blocked by a preference. Picking a time outside someone's preference shows a quiet note and books anyway. Hard blocks are reserved for real double-bookings.
- With nothing set, everything works as before: times are suggested 9am to 6pm, Monday to Friday.
Times are read on each person's own clock (their timezone in Settings > You > Profile), so "9am" means 9am wherever that interviewer sits.
What a client interview is not
A client interview is the client meeting the candidate. You arrange it; you are not in the room. Three things follow, and they are the same everywhere - the wizard, chat, Slack and the API:
- No video. Phone or in person only. Lovelio's call room (recording, live transcript, AI write-up) is for interviews you run, and a pasted Teams or Zoom link is the same thing by another name, so it is refused too. Internal interviews keep all of it.
- Nobody from your team on it. The wizard never asks who from your side is going, and the invite carries the candidate and the client's people. The booking still shows on your own Lovelio calendar - you booked it - it just does not put you on the invite or in the free/busy check.
- Never your calendar's times. The times on a client interview are the client's own, or a time you agreed with them - never times suggested from your team's diaries, because your team is not in this meeting. Two ways in. If the client left times when they asked, those are what you offer: keep the ones that work, and if two or more are left the candidate picks between them and the invites go out to both of them when they do. Leave exactly one standing and there is nothing to pick, so it books at that time immediately. If they gave no times, or theirs have passed, say or type the one you agreed in your own words - "Thursday at 2", "next Tuesday morning", "the 9th at 3.30" - and Lovelio reads it straight back as a real date and time to check before anything is booked. There is no date picker to fight. Booking a set time sends the invitation and the .ics to the candidate and the client contact(s) immediately. At least one person from the client must be on it - they are hosting. If the candidate or a client contact is busy at that time, the booking stops, names who and when, and asks whether to book anyway or pick another time.
At interview stage the client is never anonymous: the candidate's invitation names the client, because they are meeting them. Client anonymity is a job-ad rule, not an interview rule.
Where the interview happens
- An in-person interview has a location field. On a client interview it pre-fills with the client's address from their record; on an internal interview it pre-fills with your own office address from Settings > Company > Profile. Change it if you are meeting somewhere else - the address search suggests exact street addresses. The address rides the calendar invite and the emails, and an in-person booking will not send without one.
- A video interview uses a Lovelio call room by default (one link for the candidate, live transcript, AI copilot, automatic write-up). If you have your own Teams, Zoom or Meet link, paste it and everyone's invite carries that link instead - no Lovelio room is created. Video is your own interviews only; a client interview is phone or in person.
Rescheduling and cancelling
Ask in chat ("move my interview with Sarah to Thursday 2pm", "cancel the 3pm tomorrow"). Lovelio looks up your upcoming interviews (the next 14 days) to work out which one you mean, then shows a confirmation card before anything changes.
- Reschedule requires the new time, which must be in the future. A reason is optional. Rescheduling comes with an undo, updates the linked calendar event and the Google Calendar copy, and does not email the candidate. Moving the time clears the candidate's confirmation, because they only ever agreed to the old slot; if WhatsApp is connected they are asked to confirm the new time.
- Cancel requires a reason in the chat flow; it refuses without one. Cancelling sets the outcome to Cancelled, removes the Google Calendar copy, and emails the candidate a cancellation note.
- An already-cancelled interview cannot be rescheduled or cancelled again.
What shows up on the home page
Everything that happens to an interview shows on the home page, so nothing has to be remembered or followed up in a list somewhere:
- They booked their interview through your link.
- They confirmed they will be there. Confirming shows as a card whenever it happens, and today's diary bar also carries a green Confirmed chip on the day.
- They never answered the invite (after three days, or once the slots expire).
- The time moved.
- The interview was cancelled. This one asks you to book another time or move them on.
- The interview finished and no outcome was recorded. This appears the morning after and asks you to write it up. On a client interview the write-up is the call to the client, so the card's button reads "Log client feedback" and opens that call form directly.
- They did not turn up.
- The client asked to interview them, or passed on them.
- Interview feedback is overdue after three automated reminders.
Cards clear themselves when the thing they are asking about is done: booking another time clears the cancelled and no-show cards, recording an outcome clears the write-it-up card (logging client or candidate feedback counts as the write-up too), and moving or cancelling an interview clears a confirmation that no longer applies. You can always dismiss a card, or snooze it for three days.
The interview slideout
Every interview has a panel you can run the whole meeting from, without leaving the page you are on. It opens from the Interviews zone on the home page, from the calendar (click an interview entry, in the week grid or the day panel - hovering an interview also shows "Open the interview"), and from any interview notification - the "Open the interview" button on a confirmation or a change request takes you to the home page with the panel already open.
The interview itself happens away from Lovelio - in a room or on a phone - so the panel has two jobs: before it, get it confirmed and get the references moving; after it, score it and decide what happens next. There is no join button on it; a video interview's link is in the invite email everyone holds.
The panel opens with one plain-English sentence on where the interview stands - who meets whom and when, or who met whom and how it went - with the step's main buttons on that card: Reschedule and Cancel before it happens, Score the interview after it (Log client feedback on a client interview), and the next move once the outcome is in. On a client interview the content underneath splits into two tabs: "The interview" (the facts, who is coming, references, next moves, follow-ups) and "Client feedback" (the client's own words from their feedback link, and the buttons for logging their feedback by phone or email).
What is in it:
- Who is coming: the candidate with their confirmation state, and every interviewer. Only the candidate has a tracked answer - they press the confirm button in their email or reply YES on WhatsApp, and it is stamped. Interviewers get the invite and the calendar file, and Lovelio does not read whether they accepted it, so the panel says "invited" rather than pretending to know.
- Where it is, and how long it runs.
- References, on an interview that has not happened yet: closed until you click it, with how many are back out of how many the job asked for. Open it and you get every referee the candidate has given - the same list the job record shows, marked New for the past week and by month and year after that, with where each came from and how far its reference has got. Collect reference asks whether you are emailing a form or taking it on the phone. Ask them for referees is always there, whether they have given none or not enough.
- A scorecard for each interviewer, appearing as they are completed, with the consolidated verdict on top: the shared recommendation (or "Split decision" when a hire meets a no hire), the average across everyone who has submitted, and a named warning wherever two interviewers are two stars or more apart on the same area. Yours has a Score it button; the others show their ratings and their words once they submit. On a client interview the cards are the client's, so they live on the Client feedback tab.
- The debrief calls, on a client interview once it has happened: the client's feedback call sits on the Client feedback tab, and the candidate's debrief on The interview tab. "Log client feedback" opens the call form for ringing the client contact who ran the interview; "Log candidate feedback" opens the debrief call to your candidate. Each shows where it is up to - not logged, a call started and not finished (opening it again picks up your saved answers), an emailed form still waiting on a reply, or logged with a tick. Logging feedback never moves the candidate; the next-move buttons do that.
- What happens next: the moves that are legal from this candidate's stage, on buttons - submit to client, book a client interview, request references, log an offer, reject. Clicking one opens the candidate's record at that action.
- The follow-ups: once an outcome is recorded, the panel drafts the follow-up emails - one to the candidate, and on a client interview one to the client contact too. You read, edit if you like, and press Send; nothing goes out on its own.
- The "..." menu carries the candidate record, the job, rescheduling, and cancelling the interview.
Several interviewers, several scorecards
An interview can have more than one interviewer, and each of them fills in their own scorecard. On your own interviews they all ask the same questions - the form is written once when the interview is booked and copied for everyone else - so the panel can add them up honestly. On a client interview each client contact answers the same one question instead, so their cards carry a verdict and their words rather than scores.
Each interviewer also gets their own link. On a client interview every contact on the invite is emailed their own private scorecard page - it opens straight from the email, nothing to sign into - so two people from the client can score the same meeting at the same time without one typing over the other. Their reminder and their feedback follow-up carry the same personal link. Older links still work and open the same scorecard. Every link into an interview stops opening 30 days after the interview happened (if it is moved, the 30 days move with it); after that the page says the link has expired.
The consolidated card is arithmetic, not an opinion: the average per area across everyone who has submitted, the overall average, and the shared recommendation. If everyone agrees, that is the verdict. If some say hire and some say no hire, it reads "Split decision" rather than averaging a yes and a no into a shrug. Any area where two people are two stars or more apart is called out by name, with who gave what - that gap is usually the most useful thing in a debrief and an average hides it.
While scorecards are still outstanding the verdict reads "so far", and anyone who has not scored shows on the panel as a card with nothing in it, so a missing scorecard is visible rather than absent.
Outcomes
Every interview has an outcome: Pending, Passed, Failed, No Show or Cancelled. Submitting a scorecard records one automatically (hire recommendations map to Passed, no-hire to Failed), and so does a client answering their own feedback link. The panel has no separate button for recording an outcome on its own - how it went is written down with the words that go with it, or you can tell Lovelio in chat.
Choose Progress, Decide later or Not proceeding. Progress opens the legal next steps. Decide later saves what is missing, who you are waiting for and a dated reminder while keeping the stage. Not proceeding records the reason and moves this application to No or Withdrew without sending an email. Client feedback and candidate feedback remain separate.
An outcome never moves the candidate. How an interview went and what happens next are two different questions. An interview that went well could lead to a submission, a client interview, references or an offer, and only you know which - so the panel asks, with the legal moves for that stage on buttons, and nothing moves until you click one. That is true everywhere: the panel, the interview form, chat, Slack and the API.
The one stage move interviews still make is on BOOKING, not on the outcome: a client interview booked at Submitted moves the candidate to Client interview, and an internal interview booked at Yes moves them to Screen.
On booking, Lovelio generates an AI interview form in the background: role-specific scored sections and questions built from the candidate, the job and its criteria. The form describes the job's client as the employer, never the agency (the agency is only named for its own internal hires). Generation failing never blocks the booking. Each interviewer opens their own form through their own magic link, with no sign-in, and it is the one in their confirmation, reminder and feedback follow-up emails. A round 2 form never repeats round 1 questions. The interviewer scores the sections and gives an overall recommendation: strong hire, hire, no hire or strong no hire. Submitting records the outcome (hire recommendations map to Passed, no-hire to Failed). It does not move the candidate - that decision is yours, from the panel's next-step buttons. Where an interview has several interviewers, each of them gets their own copy of the same form to fill in.
The questions come from the "Interview Questions - Internal" row in Settings under Forms: Lovelio AI out of the box, or one of the forms you attach to that row. While nobody has scored anything, the scorecard shows "This interview runs on" with that row's options - switch it there and the questions rebuild on the spot (every interviewer's untouched copy follows, so the panel always adds up like for like). Once any answer or score is saved the switch disappears: saved work is never thrown away.
There are no prep notes before an interview. The form opens on conducting it: the scorecard's sections, their questions and the flag probes, all asked and scored in the meeting.
A client is sent none of it. On your own interview the link serves the form for conducting and then the feedback. On a client interview it serves one question - how did it go, and why. Their verdict and a box for their own words, and nothing else. No questions to ask, no "listen for", no scored areas and no flagged concerns. The scored areas go because the AI writes them as your private read, carrying lines like "the assessment scored this at 1", which is not something a client should ever see. Lovelio does not coach a client through an interview they are running. Their booking confirmation and their day-before reminder carry when, where and who; the only link they get is the feedback request after the meeting.
On a client interview, then, the panel's consolidated verdict is the client's recommendation and their words - there are no per-area averages to draw, because nobody scored areas. Your own interviews are unchanged.
Reminders
Around 24 hours before the interview, Lovelio emails the candidate a reminder, and every interviewer their own. On your own interview each interviewer's copy carries their own scorecard link. On a client interview the client contacts' copies are the reminder alone - candidate, time and format, no link - because their feedback is asked for after the meeting, not before. It sends once per interview. If Slack is connected and the outcome is still Pending past the company's feedback deadline, the interviewer gets a Slack nudge, at most once per deadline window.
The calendar page
The calendar is a week view with Today and previous/next week navigation. It shows five event types, each with its own colour: Interview, Phone screen, Reminder, Deadline and Meeting. Interviews and phone screens are added here automatically when booked; the other types you create yourself. Clicking an interview opens the interview slideout; clicking any other event opens it for editing.
Everything is drawn as long as it actually runs: a 9am to 12pm booking is a three hour block, not a chip in the 9am row. Two things at the same time sit side by side. An all-day booking gets its own row above the grid and tints the whole day, so a day you are out reads as taken at a glance. The hours on screen start at the working day and stretch to cover anything earlier or later that week, so a 7am call or an evening one is never hidden.
The calendar is personal: it always opens on your own diary - things assigned to you, things you are invited to, and things you created that are not on anyone else's plate. If you are in a team, a picker in the top right lets you switch to the whole team's calendar in one view. Team leaders can also open any one team member's diary from the same picker, and admins can open anyone's or the whole company's. What you cannot do is see a colleague's diary without picking it, and consultants cannot open another individual's diary at all.
- "New event" opens the event modal. When it runs is one question, answered in words: type or say "Thursday 9 to 12", "tomorrow 2pm for an hour" or "all day Friday", and the exact date, time and length are read back to you before anything saves. There are no date and time pickers; if the reader cannot run, exact boxes appear in their place with the reason. Clicking an empty slot on the grid fills the time in for you.
- While you type the title and notes, an AI assist suggests the event type, when it is, a notes template, recurrence (daily, weekly, every two weeks, monthly) and which records to link; there is also a paste-from-email button. Suggestions never overwrite a field you already touched.
- The suggested When understands the same English the When field does - "Monday the 9th at 3", "Thursday 9 to 12", "all day Friday" - and reads it on your own clock from Settings > You > Profile, so a date is never a day out. It shows you the full date and time before you apply it, and it only offers one when a real time was named: "Thursday morning" in a title suggests nothing, because it would have to invent the hour.
- Events can be linked to candidates, applications, jobs, clients, client contacts and talent pools, and can have attendees.
- Google Calendar integration has two modes: two-way (the default, Lovelio pushes events and picks up changes made in Google) or push only (Lovelio pushes, inbound Google changes are ignored). The choice survives reconnecting.
- If you have not connected Google Calendar, the calendar page shows a reminder with a Connect button, so you can connect from there instead of going to Settings. Closing it hides it for good on that browser. If your connection has broken and needs reauthorising, the page shows an amber "stopped syncing" strip with a Reconnect button instead, and that one cannot be closed: interviews you book are not reaching your calendar until it is fixed.
Common questions
- Why did my candidate move to Client interview? A client interview was booked while they were at Submitted. That move is automatic; internal interviews never move anyone to Client interview - they move a Yes candidate to Screen instead.
- I scored the interview and nothing happened to the candidate. That is deliberate. Scoring says how the interview went; where the candidate goes next is your call, and the panel puts the legal moves on buttons under the scorecards.
- Two of us interviewed and only one scorecard shows. The other person has not opened theirs yet - it shows as an empty card with their name on it. Each interviewer fills in their own; nobody can overwrite anyone else's.
- Two people at the client are interviewing. Do they share a link? No. Each of them is emailed their own, opening their own scorecard, so they can both score the same meeting without touching each other's answers.
- The consolidated verdict says "Split decision". One of you recommended hire and another no hire. Lovelio will not average that into a middle answer - open both scorecards and look at the area it flags as a disagreement.
- Why will chat not confirm my cancellation? It needs a reason. Give one and confirm again.
- The candidate did not get a video link. Check the interview format is video; a video interview with no link gets a Lovelio call room and the link goes in the invite email.
- Why can I not offer times to this candidate? Two reasons. The stage: offering times works from Yes, Submitted and Client interview, so at Maybe you shortlist them as a Yes first (parked, rejected, placed and withdrawn candidates are closed). Or the interview type: offering times is for your own interviews, because the times come from your team's calendars - a client interview is booked at the time the client gave you.
- Why is there no video option on my client interview? Video is for interviews you run. A client interview is phone or in person, and a pasted Teams or Zoom link is refused the same way. Book it as your own interview if you are the one holding the call.
- Why does the wizard not ask who from my team is going to a client interview? Because nobody from your team goes - it is the client meeting the candidate. The booking still shows on your calendar; you are just not on the invite.
- Why did my wizard booking not move the stage? Two bookings move the stage: a client interview booked at Submitted (to Client interview), and an internal interview booked at Yes (to Screen). Any other combination leaves the stage alone.
- Why did my booking stop with "X is busy"? Someone on the invite already has something in their diary at that time. Pick one of the suggested times, or press Book anyway if the clash is fine (for example their diary entry is moveable).
- What does "Can't read X's Google Calendar" mean? Their Google Calendar connection is broken, so their Google events were not part of the availability check - only their Lovelio events were. The booking still went through; ask them to reconnect Google Calendar in Settings.
