Share a record with a teammate

Click Share (the icon with three dots joined by two lines) at the top of any candidate, job, client, contact, deal file or placement, just before the ... menu. Sharing a deal file opens that same deal file for your teammate. Pick one or more teammates, add a line if you want ("Strong for your Sydney role"), and click Share. A toast lets you undo it for a few seconds.
To share several candidates at once, tick them in the candidates list, the Recent tab or a talent pool and click Share in the bar at the bottom.
Who you can share with
Only teammates who can already see the record. In team or desk mode, someone on another desk is not offered for a candidate they cannot open. The people you share with most are at the top. Copy link copies a link to the record if you would rather paste it somewhere yourself.
The line under a name
Sometimes a teammate's name carries a short coloured line, such as "Fits Darren's Senior Accountant role", "Darren called Sarah in March" or "4 of Darren's candidates fit this job". It comes from Lovelio's own data: the teammate's open jobs the candidate meets the requirements for, their last logged call with the person (for a deal, the person in it), or how many of their own candidates meet a job's requirements. When nothing matches there is no line. It shows when you share one record, not a bulk selection.
What your teammate gets
- A notification in their bell with your line, Open, On it and Not for me.
- A row in For you on their home page, alongside notes that @mention them, until they open or answer it.
- A Slack message, when your agency has Slack connected and they have linked their Slack account.
- An email straight away with your line and a link to the record. The agency can switch these emails off under Settings, Emails, "Shared records (to your team)".
On it and Not for me
When your teammate answers, you get a notification ("Darren is on Sarah Mitchell" or "Darren passed on Sarah Mitchell") and the record's timeline shows it: "Shared with Darren · On it".
Other ways to share
Ask Lovelio, Cmd+K, Slack and WhatsApp understand "share Sarah Mitchell with Darren". Agents connected over MCP use the batch tool with the share_record action (scope activities:write). A plain company API key has no user to share as, so it cannot share.
Common questions
- Can I share with someone who cannot see the record? No. Change who can see it first, or ask a manager.
- What is the difference from an @mention? A mention is part of a note and stays on the timeline as a note. Share hands the record over with an answer the sender can see. Both land in For you and the bell.
